Conference Site

The conference will be held at the five star Hotel Radisson in Kathmandu, Nepal.
The hotel is close to the Royal Palace and within walking distance to the center of the city.

Conference Fee:

The conference fee will be 350 EUR (including lunches, coffee breaks, welcome reception and conference banquet, and use of the hotel conference facilities) if registered before the deadline of 2020.01.01. After that, late registration will only be possible, if any space is left. The fee then is 400 EUR.
We strongly encourage early registration and flight booking (see below).
A reduced fee of 250 EUR is foreseen for Indian/SAARC scientists and further reduced fee of 200 EUR is foreseen for students (PhD, master degrees).

Financial Support

Unfortunately, we cannot provide any financial support.

Arrival

There is an information desk at the airport. Upon arrival, look for a representative of the hotel. If this has not been arranged or a representative is not there, take a prepaid taxi (look for a booth, the price is about 650/750 NPR) to your hotel.

Visa Requirements

Citizens of all countries (except India) NEED a visa to Nepal (see Ministry of Home Affairs Web Site for more details). For most nationalities, a tourist visa can be easily obtained at the Kathmandu airport.
The current prices are: 25 USD for 15 days; 40 USD for 30 days; 100 USD for 90 days. The visa is payable in cash.
You need one recent passport-type photo for the visa application. We indeed suggest to take with you a few of these passport-type photos which you may need to get other permits (i.e. permits for multiple entries to some tourist sites, permits for trekking, etc.).
Your passport should be valid at least 6 month after the entry date.
To speed up the process you can fill in the Online Tourist Visa Form . If you fill the online form, you will get a submission receipt with a barcode which you need to print and bring with for acquiring visa at the airport. PLEASE NOTE that it works for fifteen days and becomes invalid after then and you will have to fill it up again.
Note, however, that some nationalities do need to follow different procedures, which require contacting the Nepali consulate in advance, and/or showing a Letter of Invitation when applying for the visa at Kathmandu airport.

Presentations

A projector will be available for your computer presentations. A laptop will be available to upload your talks. Since a large number of local students will be present, and since the workshop covers a relatively broad range of topics, we would like to ask each speaker to include at least one slide to introduce the general topic of their talk.

Sightseeings

There will be one sightseeing tour in the afternoons during the conference week. The tour plus entrance fees are included in the registration fee.
In addition, there may be the possibility of an early-morning, one-hour mountain flight with amazing views of the Himalayas including Mt. Everest. The cost will around 200-250 USD. In case of bad weather the flight will be rescheduled or the price refunded. This is not included in the conference fee, and is externally organized. More information will be distributed later.

Trekkings/Excursions

There may be the option of post-conference trips, including a few days trekking to Namche Bazar with Everest views, and a one-week excursion to Bhutan. These are not part of the conference, but will be organized by external trekking agencies. More information will be released soon.
